Review-only clients and clearance defaults
What a Review Only client can and cannot do, and how to set the treatments offered at each of your locations.
A Review Only client sends patients to a provider for a Good Faith Exam — a clinician's sign-off that a treatment is appropriate — and never sells, ships, or prescribes anything; /clearance-defaults is where a Client Admin says which treatments are offered at which location.
Read this first if your left menu is short. If you see Dashboard, Patients, Visits, Forms, Integrations, Reports, Knowledge base, Settings and Support — and no Products, Orders, Messages, Labs, Prescriptions, Formulary or Billing — you are on the Review Only client model. Roughly a third of the Client guides describe features you do not have. The table at the end of this guide says which ones to read and which to skip.
Questions people ask about this page
What is a Review Only client?
One of three client models: Review Only, Review + Prescribe, Affiliate. Review Only turns off commerce, billing, messaging, formulary, labs, orders, prescriptions and products, and turns on Good Faith Exam clearances instead. You cannot change your own model — ask GEN Health or your provider network.
Why do half the menu items and settings tabs not exist for me?
They are removed, not hidden. /billing, /formulary, /labs, /messages, /orders, /prescriptions and /products are stripped out of the route table for Review Only clients, so an old bookmark shows Page not found — The page you’re looking for doesn’t exist or you don’t have access. Inside Settings you keep five cards: Notifications, Branding, Security, Logs, Developers.
There is no Clearance defaults item in my left menu. How do I get here?
The page is deliberately not in the menu. Go to Dashboard and click the Manage defaults card (Set locations and offered treatments.). Typing /clearance-defaults works too. Only a Client Admin on a Review Only account can open it. For anyone else — Client Staff, or a Client Admin on Review + Prescribe or Affiliate — the route is never registered, so the URL gives Page not found rather than a permission message.
The treatment list is empty. How do I add my own?
You cannot. Treatments are published by the provider network you are paired with, and you choose which of them are offered where. An empty list reads No treatments are available yet. and means the network has not published any — contact them.
My Request clearance card is greyed out.
Two possible reasons. With no locations saved, the dashboard shows an amber bar — Add your locations to start requesting clearances. — and an Add locations button. With locations but no treatments enabled, the line under the cards reads An admin must enable treatments before clearance requests can be created. Fix whichever one applies on this page.
What does “Requires live visit” under a treatment mean?
The provider network marked that treatment as needing a real-time visit rather than an asynchronous review. Include it in a clearance and the whole request becomes a live visit. You cannot change the flag; only the network can.
Where to find it
Left menu → Dashboard → card Manage defaults. Direct link: /clearance-defaults. Visible to: Client Admin on a Review Only client only. Every other role and model gets Page not found.
What is on this page
| What you see | What it does |
|---|---|
| Back arrow (Back to dashboard) | Returns to /dashboard. |
| Card Treatments by location | Holds everything below. Its info icon reads Only the treatments enabled here can be selected when staff request a clearance. |
| Location dropdown, placeholder Select location | Picks which location you are editing. Only locations marked Active appear. |
| Badge {n} enabled | How many treatments are ticked for the location currently selected. It moves with the dropdown. |
| Search treatments, placeholder e.g. Botox | Filters the tiles below by name. Empty result: No treatments match that search. |
| Treatment tiles | Click to tick or untick. A ticked tile is tinted and shows a check. |
| Edit locations | Opens the Locations dialog. |
| Save defaults | Writes the ticked list for the selected location. Toast: Treatment defaults saved. |
How to add your locations
Open the dialog
Click Edit locations. If you have none yet the page instead shows Add a location before selecting treatments. with an Add locations button — click that. The dialog is titled Locations, described Add each place where treatments are offered.
Fill one card per site
Every field marked with an asterisk is required: Location name (e.g. Downtown Studio), Street address (e.g. 120 Market St), City, State (two letters), ZIP. Suite or unit is optional.
Add more
Click Add another location for each extra site, up to 50. A new, unsaved card has an × to remove it; saved cards do not.
Save
Click Save locations. It stays disabled until every card is complete and at least one is active. Toast: Locations saved.
To retire a site, reopen Edit locations and untick its Active checkbox rather than blanking the fields. It gains an Inactive chip, drops out of the Location dropdown and out of the clearance request form, and its history stays intact.
How to choose the treatments for a location
Pick the location
Open the Location dropdown and choose a site. The {n} enabled badge and the ticked tiles both change to match it.
Find the treatment
Type into Search treatments if the list is long — for example Botox.
Tick what you offer there
Click a tile to include it, click again to remove it. Watch for the Requires live visit line under a name: those turn the clearance into a real-time visit.
Save before you switch
Click Save defaults. Only then change the Location dropdown and repeat for the next site.
How a clearance actually gets requested
Defaults set here are consumed on the dashboard. Click Request clearance (Start a Good Faith Exam for a patient.) and the dialog walks three steps.
- 1. Patient — Choose a location and enter the patient details. All required: Location, First name, Last name, Date of birth, Email, Phone. Then Choose treatments.
- 2. Treatments — only what you enabled for that location. Then Choose delivery.
- 3. Delivery — Use this device (Open a private 30-minute kiosk session.) or Send to patient (Email the patient a secure login link.).
Outcomes land in the dashboard card Recent clearances; View all opens /visits.
Every setting on this page
Everything here is either a control on the page itself or a field in the Locations dialog. There are no hidden tabs.
On the page
| Setting | What it controls | Default |
|---|---|---|
| Location (dropdown, placeholder Select location) | Which location’s treatment list you are editing. Only locations marked Active appear. Everything below it re-reads when you change it. | Your first active location |
| Search treatments (text, placeholder e.g. Botox) | Filters the tiles by name as you type. A view control only — it never changes what is enabled. | Empty |
| Treatment tiles (one per treatment your network publishes) | Click to enable or disable that treatment for the selected location. A tinted tile with a check is enabled. Nothing is written until you save. | All off |
| Edit locations (button) | Opens the Locations dialog. Reads Add locations instead when you have no active location yet. | — |
| Save defaults (button) | Writes the ticked list for the selected location. Stays disabled until a location is selected. Toast: Treatment defaults saved. | — |
Inside the Locations dialog
| Setting | What it controls | Default |
|---|---|---|
| Location name * | The name staff pick from when requesting a clearance. Placeholder e.g. Downtown Studio. Until you type one, the card header reads Location 1, Location 2, and so on. | Empty |
| Street address * | Line one of the address. Placeholder e.g. 120 Market St. | Empty |
| Suite or unit | The only optional field on the card. Placeholder e.g. Suite 300. | Empty |
| City * | Placeholder Austin. | Empty |
| State * | Two letters, forced to upper case as you type. Placeholder TX. | Empty |
| ZIP * | Placeholder 78701. | Empty |
| Active (checkbox) | Appears only on a location that has already been saved. Untick it to retire the site: it gains an Inactive chip and drops out of the Location dropdown and the clearance request form. | Ticked |
| Add another location (button) | Adds an empty card. Hard ceiling of 50 locations; past that the button does nothing. | — |
| Remove (×, top right of a card) | Discards an unsaved card. It only appears on a card that has never been saved and only while more than one card is on screen — a saved location cannot be deleted, only made inactive. | — |
| Save locations (button) | Writes the whole list. Disabled until every card has its five required fields and at least one card is active. Toast: Locations saved. | — |
What you cannot set here: the treatment catalogue itself, whether a treatment needs a live visit, per-treatment pricing, who reviews a clearance, or a per-staff-member restriction. All of those belong to the provider network.
Statuses you will see here
| Status | What it means | What to do |
|---|---|---|
| {n} enabled | Treatments ticked for the location currently in the dropdown — not a total across sites. | Switch locations to see each one's count. |
| Requires live visit | The provider network flagged this treatment as needing a real-time visit. | Nothing here. Expect a scheduled visit rather than an async review. |
| Inactive (on a location card) | The site is saved but switched off. | Tick Active to bring it back. |
| Approved (Recent clearances) | The provider cleared every requested treatment. | Proceed with treatment. |
| Partially approved | Some treatments cleared, some not. | Open the record on /visits to see which. |
| Not approved | No treatment was cleared. | Do not treat. Read the provider's note. |
| In review | Submitted, no decision yet. Also shown before the patient has finished their form. | Wait, or chase the patient. |
What can go wrong
| What you see | Why | Fix |
|---|---|---|
Page not found on /products, /orders, /labs, /billing, /messages, /prescriptions or /formulary | Review Only removes these routes outright, so bookmarks and guide links break rather than showing an empty page. | Nothing to fix. Those features are not part of this model. |
| Add a location before selecting treatments. | No active location exists, so there is nothing to attach treatments to. | Click Add locations and save at least one. |
| No treatments are available yet. | Your provider network has published no treatments. | Ask the network to publish its treatment catalogue. |
| You ticked treatments, changed location, and the ticks vanished | Selections are per location and are not kept until saved. | Click Save defaults before touching the dropdown. |
| Save locations stays greyed out | A card is missing a required field, or every card is inactive. | Complete each card and keep at least one Active. |
| Staff cannot see a treatment in Request clearance | It is not enabled for the location they picked. Step 2 shows No treatments are enabled for this location. | Enable it here for that location and save. |
| Toast: Allow pop-ups to open the kiosk, or open it manually. | The browser blocked the kiosk tab after Use this device. | Click the toast's Open kiosk action, or allow pop-ups for the site. |
